Position Overview
We're looking for a highly organized and detail-oriented Administrative Assistant to provide critical support to our senior leaders and broader administrative functions. As the ideal candidate, you'll possess excellent communication and analytical skills, with the ability to work independently and as part of a collaborative team. Key Responsibilities:
- Leadership Support: Serve as the primary point of contact for assigned Senior Leader(s), ensuring seamless communication flow among the leadership team, employees, and external parties.
- Meeting and Event Planning: Plan and coordinate virtual, on-site, and off-site meetings, as well as special events, working closely with cross-functional colleagues.
- Meeting Materials and Communications: Assemble and edit meeting-related materials, distribute agendas, status reports, and presentations, and manage room reservations and catering.
- Calendar Management: Coordinate executive schedules, manage leader calendars, and schedule internal meetings, external engagements, and candidate interviews.
- Travel Arrangements: Arrange travel, including flights, hotels, and car services, and prepare expense reports as needed.
- Workplace Culture: Support the development of a strong workplace culture, focusing on teamwork, collaboration, responsiveness, and fun, and help coordinate team-building and social events.
- Signature and Work Requests: Assist in creating and routing Requests for Signature and Statements of Work to appropriate parties.
- Vendor Management: Facilitate payments to vendors through oversight of the full lifecycle of Oracle iProcurement.
- Onboarding and Administrative Support: Support new hire onboarding, including security badge setup and equipment ordering, and provide general administrative support to assigned Senior Leader(s).
- Organizational Charts and Process Flows: Create organization charts and process flows as needed.
Essential Qualifications:
- Education: High School Diploma or equivalent required; advanced education preferred.
- Experience: Previous experience in an administrative support role, preferably supporting senior/executive leadership in a large, fast-paced functional area.
- Organization and Analytical Skills: Strong organization and analytical skills, with the ability to handle multiple tasks simultaneously and manage small projects.
- Communication Skills: Demonstrated ability to anticipate needs before they arise and proactively resolve issues, with strong verbal and written communication skills.
Preferred Qualifications:
- Advanced Education: Bachelor's degree or higher.
- Executive Support Experience: Experience supporting C-level executives or senior leadership teams.
- Technical Skills: Proficiency in Oracle iProcurement, Microsoft Office, and Google Workspace.
