Job Summary
We're seeking an experienced Facility Coordinator to join our team. As a key member of our operations team, you'll be responsible for delivering exceptional customer service, managing workflows, and ensuring seamless day-to-day operations. Key Responsibilities
- Workflow management: Answer customer service lines and/or emails, generate work orders for dispatch to appropriate service providers, and coordinate the assignment, tracking, and reporting on all work order activity at each location.
- Closely track the status of all work orders for location and provide timely communications and weekly reports to keep Manager(s) apprised of any issues.
- Perform post-work order follow-ups with vendors and clients to ensure completion and satisfaction.
- Support the development of solutions/remedies required to mitigate a work request.
- Assist in the collection and oversight of inspections of facilities/properties.
- Support contract/vendor administration, including but not limited to organization of vendor contracts and insurance information, aiding the bidding process, and ensuring compliance with policies and procedures.
- Support a high level of service and responsiveness of the subcontracted service.
- Assist with establishing, measuring, and managing key performance metrics for portfolio operation.
- Assist in developing and managing processes to ensure all elements of compliance programs are maintained.
- Receive and code invoices for Manager approval through the invoice processing system.
- Assist in creating monthly, quarterly, and annual reports for clients.
- Other duties as assigned.
Requirements
The successful candidate will possess the following required degrees, certificates, or competencies:
- High school diploma/GED equivalent; Bachelor's degree preferred
- 3 years of real estate property/facility management or related experience, or any similar combination of education and experience
- Knowledge and experience with work orders systems (CMMS/CAFM)
- Proficiency with Microsoft Office Suite
- Strong organizational skills; detail-oriented
- Excellent oral and written communication and presentation skills
- Strong interpersonal skills: Ability to work with others well, give and take direction, and to interface with decision-makers in a professional manner and maintain confidential information
- Proven record of excellent internal and external customer service
- Ability to handle a variety of work with minimal direction and supervision
- A strong team player, service-oriented attitude, and unwavering positive outlook
