WhatsApp Business Automation Specialist – Lead Follow-Up & Messaging Workflows

Apply Now
THE OPPORTUNITY I run a marketing consultancy supporting high-value B2B service companies. We're scaling lead generation through paid ads (Google & Meta) and need a reliable WhatsApp-based follow-up system to engage leads the moment they come in. Email deliverability has proven unreliable for our audience — WhatsApp gets near-universal open and response rates. I need someone who can architect and build the entire WhatsApp automation stack from the ground up: account setup, API integration, automated messaging flows, and ongoing optimization. This is not a one-off. We have multiple clients and campaigns that will run through this system long-term. YOUR ROLE → WhatsApp Business API setup – Configure WhatsApp Business accounts, get verified, set up message templates, and ensure compliance with Meta's policies → Automation builds – Design and build automated messaging sequences triggered by lead form submissions, quiz completions, and CRM events → Platform integration – Connect WhatsApp flows with our existing stack (Make.com, Airtable, Perspective.co, Google Ads) for seamless lead handoff → Software recommendations – Advise on the best low-cost, high-flexibility tools for WhatsApp automation (e.g., WATI, Twilio, Respond.io, WhatConverts, 360dialog, or alternatives) with clear reasoning on cost vs. capability → Template management – Write, submit, and manage WhatsApp message templates for approval, ensuring high delivery and compliance → Tracking & reporting – Set up tracking so we can measure message delivery, open rates, response rates, and conversion attribution → Proactive input – If something in the workflow won't perform well or risks account restrictions, flag it before it becomes a problem Every message is sent to leads generated from paid traffic. You need to understand speed-to-lead, conversion psychology, and the compliance boundaries of WhatsApp Business. FIRST TASK Audit our current lead flow and recommend a full WhatsApp automation architecture. Deliverables: → Platform recommendation with cost comparison (at least 3 options evaluated against flexibility, cost, and performance) → WhatsApp Business account setup or migration plan → One fully built automated welcome/qualification sequence connected to our existing Make.com + Airtable stack → Documentation of the setup so our team can manage it going forward WHAT I'M LOOKING FOR → Proven experience setting up WhatsApp Business API accounts and getting message templates approved → Hands-on experience with at least 2–3 WhatsApp automation platforms (WATI, Respond.io, Twilio, 360dialog, etc.) → Strong understanding of Make.com (Integromat) or similar automation tools → Ability to build reliable, scalable messaging workflows — not hacks that break → Compliance knowledge — you understand Meta's messaging policies and how to avoid account restrictions → Bonus: experience with high-value B2B or professional services lead nurturing → Bonus: familiarity with Airtable CRM workflows and Perspective.co funnel integrations BUDGET & TIMELINE → First task: Architecture recommendation + first automation build → Ongoing: Retainer or per-project — flexible based on performance → Timeline: Available to start this week → Long-term follow-on work available — we're building this as core infrastructure across multiple campaigns and clients ABOUT ME I run multiple businesses and hire long-term. Good operators get repeat work. On Upwork: ⭐ 5.0 rating 170 reviews / 4.96 average feedback 228 jobs posted / 85% hire rate 316 hires / $91,000+ spent What you can expect: Clear briefs, fast decisions, no wasted time. HOW TO APPLY Please include in your proposal: 1. Which WhatsApp automation platform(s) you recommend and why — specifically considering low cost, high flexibility, and strong performance 2. At least 2 examples of WhatsApp automation workflows you've built (screenshots, case studies, or descriptions) 3. Your experience with Make.com and/or Airtable integrations 4. Your availability and preferred engagement structure (hourly vs. fixed)
