They are seeking a Customer Service Representative in Buffalo, NY, responsible for processing customer orders, managing RFQs, and enhancing customer support through effective communication and relationship-building. Responsibilities - Receive, review, and assign incoming RFQs submitted through the online portal, ensuring all required technical and commercial details are captured, clarified when needed, and routed for timely and accurate quotation development - Manage and process customer orders received through the shared email inbox, verifying order accuracy, identifying customer accounts and payment terms, and assigning project managers to ensure a smooth handoff to the operations team - Provide guidance and training to customers and sales representatives on proper request‑for‑quote (RFQ) submission procedures, proactively following up to improve accuracy, efficiency, and turnaround time - Strengthen customer support effectiveness by developing deep expertise in products, services, and internal systems, enabling consultative, solution‑based interactions rather than transactional responses - Collect install‑base information associated with each RFQ by confirming details with the customer and entering the data into the CRM system, supporting organizational goals tied to install‑base tracking - Manage a RFQ assignment matrix, ensuring accurate routing of each request to the correct proposal analyst or engineer by evaluating product type, technical requirements, and project scope - Build and sustain strong working relationships with Regional Sales Managers, external Sales Representatives, internal leadership, and customers to enhance communication, streamline processes, and continuously elevate the customer experience Skills - 1-2 years of experience in customer service, inside sales, order management, technical support, or a related role - Strong communication skills with the ability to interact professionally with customers, sales representatives, and cross‑functional teams - High attention to detail with the ability to verify order accuracy, review RFQ submissions, and maintain clean and consistent data across systems - Proficiency with CRM platforms (Salesforce, Microsoft Dynamics, or similar) and comfort working in structured digital workflows and shared inbox environments - Ability to interpret basic technical information related to product types, applications, or scopes of work (no engineering background required, just comfort with industry terminology) - Strong organizational and multitasking abilities, capable of managing multiple RFQs, orders, and follow‑ups in a fast‑paced environment - Proficiency with Microsoft Office, particularly Outlook, Excel, and Teams - Ability to work independently and collaboratively, maintaining professionalism and responsiveness with internal and external stakeholders Benefits - Medical, dental and vision insurance - Employer contributions to an HSA account - Health Care and Dependent Care Flexible Spending Accounts (FSA) - Company-paid short-term and long-term disability coverage - Basic life insurance with the option to purchase supplemental individual, spouse and dependent child coverage - Up to two weeks of paid family leave - 401k retirement savings plan including a company match Company Overview - Chart Industries, Inc.
